Employee Electronic Device Policies
- All employee phones where this website is accessed must have passwords or passcodes.
- All employees must have MFA enabled using the Google Authenticator App.
- NEVER take screenshots of the app. If accidental screenshots are taken, they must be deleted immediately.
- When finishing using the app, employees should log out, close the tab, and turn off their VPN.
- Employees should not visit other websites besides ours when on the VPN. They should also close any tabs they have open or ensure they are secure before getting on the VPN. (Exception: Supervisors using the app on work computers may visit trustworthy and work-related sites).
- Beware of Phishing: No one from Aspen will ever send emails or texts with links to websites that ask for your username or password. Always access our website by typing if.abapm.net directly into your browser.
- Employees should never share their password with anyone.
- When making a password, never use easy-to-guess passwords like Password#123.
- All information on the website is confidential and should not be shown or sent to anyone electronically or physically. (Exception: Showing an issue to an Aspen IT professional or supervisor).
- Nothing should ever be downloaded from the website to the employee’s personal device.
- Computer Access: Only supervisors and administrators should access the website on a computer (unless using a computer to set up MFA). This is to avoid spyware found on untrustworthy Browser Extensions. Supervisors must be extremely cautious when downloading software or extensions.
- Employees should not download any software to their phones that could be potentially dangerous (malware/spyware).
- Staff phones must have a setting enabled to auto-lock after a short period of inactivity.
- Employees should not leave their devices unlocked or unattended where others could access them.
- Reporting: Employees must notify their supervisor immediately if they believe their personal device has been hacked or any accounts compromised.
